Bar Hill Community Association is a registered charity, run by a board of volunteer Trustees on behalf of the whole village. The policies on this page set out how we govern ourselves: how we handle money, how we make decisions fairly, and how we respond when things go wrong.
We publish them here for two reasons. First, accountability - if you donate to us, volunteer with us, or simply live in Bar Hill, you're entitled to see the standards we hold ourselves to. Second, practicality - our volunteers and committee members need somewhere authoritative to check what the agreed position is, and this page is it.
Each policy is approved by the Board of Trustees and is the current, authoritative version. Where a policy includes procedures, those procedures are binding on everyone acting on the Association's behalf, including Trustees, committee members, and volunteers.
Briefly, what they cover:
Our Conflicts of Interest Policy ensures that decisions are made in the charity's interests, not personal ones, and sets out how Trustees declare and manage any conflicts. Our Reserves Policy explains how much money we aim to hold in reserve and why - so the Association can weather unexpected costs and keep its commitments to the community. Our Serious Incident Reporting Policy describes how we identify, handle, and report serious incidents, including our obligations to the Charity Commission. Our Social Media Policy governs how we communicate online on the Association's behalf, keeping our channels safe, accurate, and respectful. Our Charitable Donations & Fundraising Policy sets out how we raise money and accept donations honestly and transparently, in line with fundraising regulation.
Policies are reviewed by the Trustees and updated as the Association's activities and the law change. If you have a question about any policy, or believe we haven't lived up to one, please contact us - we'd genuinely rather hear about it.
